Participant lists

As a volunteer, you have the opportunity to view participant lists for your own events and the events created by your unit.

Handling participant lists

At the event registration, under Terms and Conditions, all event attendees are made aware of the following:

Important information regarding personal data on lists of attendees: Your name, title and company will appear on the list of attendees for this event if you have previously consented or have consented to this in connection with the registration. The attendee list is available to the organiser and other participants at the event itself in the form of an online attendee list. At some events you will also receive a name badge with your name, title and company on it. If you unsubscribe from the event, your details will no longer appear on the attendee list.

Participants, speakers and event organisers are therefore welcome to receive the participant lists with this information. The internal attendee lists with contact information are reserved for the organiser itself for the purpose of contacting attendees about the event. All types of participant lists must be deleted after use.

For collaborative events, you can insert a text describing what is distributed and to whom based on this template:

Disclosure of personal data to “Company Name”: The attendee list for this event is disclosed to “Company Name” as it is necessary for the organisation of the event. The attendee list contains your name, xxx, xxx, if stated at registration. The information is only used for this event. If you unsubscribe from the event, the information will not be disclosed.

Attendee lists you are not allowed to share - internal attendee lists

These lists are for internal use only as they contain confidential information, such as mobile phone number and email, and are therefore not to be shared, printed or posted at the events.

Attendee list you can share - external attendee lists

If you are registered for the event, you and the other attendees also have the opportunity to view an attendee list. This list is for external use and can be shared with anyone. Only those registered for the event have access to the external attendee list. Remember to remove any lists that are left over from the event.
