Webinar via Zoom
We primarily use Zoom webinar for IDA's webinars. All participants must therefore have access to Zoom. Please ensure, before creating the webinar, that all moderators and presenters are allowed to use Zoom. We recommend that organisers/moderators and presenters install the app and ensure that they have the latest version. Alternatively, you can access Zoom via browser and it is recommended to use Chrome.
Booking webinars
You send an email with event details to your network coordinator, who then fills out a form and sends it to the webinar team. It usually takes 3-4 days for us to process your request.
Meeting manager
The meeting manager/organiser is the person who has contact with the speaker and moderator. The meeting manager's contact information, including mobile phone number, must be included on the form.
Moderator
- The moderator's task is to host by welcoming on behalf of IDA, thanking and accepting questions from participants in the chat and in Q&A. There must be a moderator/host (organiser) at the meeting.
- If you would like to book a moderator, please contact your network coordinator. The name of the moderator is written in the form and will appear in the calendar booking.
- Moderators must be booked half an hour before the webinar starts, as all presenters (panelists) meet in the webinar ½ hour before the start of the meeting.
Speaker
The speaker's name and email address are to be written in the form. The speaker will receive their own link to zoom. The speaker must participate in a test meeting and meet ½ hour before the webinar starts.
Test meeting
In collaboration with your network coordinator, you are responsible for coordinating and calling a test meeting. Preferably 1-2 days before the webinar. For the test meeting, it will either be the person who is technical support on the day, or alternatively someone from IDA's webinar team.
Pre-meeting
A pre-meeting will always be called – typically ½ hour before the webinar starts.
Panel link – access for organiser/moderator and speaker
An individual panel link will be sent from Zoom to the organiser/moderator and presenter. NOTE! The link is used for both the test meeting and the webinar.
