Plan your event in a sustainable way

Here you can find tips on how to make your event more sustainable. There are many factors that can contribute to your event being climate and environmentally friendly.

For an event to be a truly sustainable activity, you, as an organiser, need to pay attention to detail. There are many aspects to keep an eye on, and depending on the type of activity, the relevance of the different elements will vary.

Booking venues: 
When planning a meeting in a venue outside IDA, you can look for eco-labelled venues, there are e.g. Nordic Swan Ecolabelled conference venues.

Catering: 
When you book catering, you can ask questions and make requests:

  • Menu to avoid food waste.
  • Vegetarian, if not 100% vegetarian, then a reduced consumption of meat
  • Locally produced organic and seasonal food
  • Water in jugs
  • Avoid a lot of disposable packaging (i.e. no thanks to butter in small trays, disposable cups etc. Be aware that all kinds of disposable packaging is often an unnecessary overuse and replacing plastic with cardboard or some kind of bioplastic doesn't help)

Gifts:

  • Avoid handing out low-quality products
  • Be creative
    If you can't avoid merchandise, go for the eco-labels: the Swan and the Flower
  • Choose organic and climate-friendly food

Transport:

When it comes to in-person meetings, you need to consider the mode of transport:

  • How do participants get to and from meetings
  • A good idea is to plan your meeting (or other activity) so that it is easy and quick to use public transport
  • If public transport is not possible, carpooling can be offered
  • Avoid all domestic flights and flights to destinations where there are reasonable alternatives. However, with the exception of Bornholm, until a more environmentally friendly ferry is available
  • Use online meetings as teams/skype/zoom meetings to save time and transport. Remember that IDA's webinar team offers help with this.
