External partners

Here is an overview of the points you need to be aware of when organising events with organisations or companies outside IDA.

If you are collaborating with others, remember to make clear agreements about finances, sharing participant lists, and marketing – including the use of each other's logos, etc. Read more here.

Internal prices at IDA Conference

  • The prices we receive on the confirmations from IDA Conference are internal prices – they only apply when the invoice is paid via IDA (a division, a technical association, a fund, etc.).
  • The prices are therefore confidential and must not be shared with external parties!
  • Invoices from IDA Conference must never be re-invoiced to external partners.
  • The event should be created in IDA's meeting system, where all registrations should also take place.

Participant lists

When you organise events together with an external partner where registration takes place outside IDA, you should always receive a participant list with participant names and email addresses after the event. This is a requirement for the collaboration.

If registration is with IDA and the external partner would like to receive a participant list with names and company names from IDA, two conditions must be met:

You may only send the list of participants if the event has been offered to both members and external participants, and the following information is provided on the event page.

The event text must state who the organiser is.

E.g.: IDA Byg collaborates with the following organiser: Innobyg or similar.

NB! The text must state the organiser and not co-organiser, partner or similar.

In addition, this text must be included at the bottom of the event description:

Important information regarding personal data on participant lists

Your name, title and company will appear on the participant list for this event if you have given your consent. The participant list is available to the organiser and other participants at the event itself in the form of a physical participant list and an online participant list. At some events, name tags are also provided, showing your name, title and company. If you cancel your registration for the event, your information will not appear on the participant list.

Always remember to encrypt emails and documents containing personal data.

Logos

If registration is not with IDA but with a partner, another condition for the partnership is that your unit's logo appears on the external partner's website/registration page and other material.
