What you need to know about hosting a webinar in IDA’s TV studio (studio production)

Date and time – booking a TV studio

  • The first thing you need to do is check that the TV studio is available* – ask your coordinator
  • You must wait for final confirmation from the webinar team – you’ll receive this via your coordinator.

*The studio must be booked one hour before the webinar starts and half an hour after it ends.

Moderator

  • It is recommended that a moderator be present for studio productions. Ask your coordinator for help in finding one.
  • The moderator’s name must be entered in the form and will appear on the calendar booking.
  • The moderator must be booked from one hour before the webinar starts, and for half an hour after the webinar ends.
  • The moderator and presenter must arrive at the studio – preferably one hour before, but no later than half an hour before the meeting starts.
  • The moderator must bring their own laptop and charger.
  • The moderator and presenter must agree to meet at reception.

Speaker 

  • The speaker’s name and email address must be entered in the form and will appear on the calendar booking.
  • The speaker must be booked one hour before the webinar begins, as well as half an hour after the webinar ends. The moderator and speaker may arrive at the studio one hour beforehand, but must arrive no later than half an hour before the meeting starts.
  • The speaker must bring their own laptop and charger.
  • If no moderator is present, you must work with your coordinator to ensure that the speaker arrives at the studio.

PowerPoint/presentations from the organiser, moderator and speaker

Presentations must be sent to your coordinator no later than the day before the event, and you must also bring them on a USB stick and/or your laptop.

Catering

We recommend that you order at least water and coffee/tea – please ask your coordinator to arrange this. If you order refreshments, it is good practice to also order some for the video technician and webinar technician. 

How to find the studio

The studio is located in the tower block at IDA. However, you, the speaker and the moderator must report to reception, where you will be collected.
